In the 2012 Annual Report you’ll learn about our programs that support youth, adults, social issue documentary makers, institutions and artists, and under and unemployed individuals. In addition to equipping such a diverse constituency with new skills and resources, we hope that everyone we serve leaves BAVC re-energized to create social change on both a personal and community level.

BAVC has developed a broad base of support over its 35 year history with an impressive set of funders that represent BAVC’s diverse activities. In 2011 BAVC received support from government funders such as the National Endowment for the Arts, Corporation for Public Broadcasting and National Science Foundation, from corporate sponsors such as Adobe, Comcast and Nokia, and national foundations such as The John D. and Catherine T. MacArthur Foundation, Ford Foundation, The Nathan Cummings Foundation and the Andy Warhol Foundation for the Visual Arts, just to name a few. In addition, BAVC was fortunate to receive support from key California and Bay Area foundations such as the The James Irvine Foundation, The William and Flora Hewlett Foundation and The San Francisco Foundation, as well as critical family foundations, all of which play a critical role in BAVC’s support system. As we look back on 2010 at BAVC we see it was a year full of growth and change. We made concerted efforts to expand local and international partnerships, we worked with City of San Francisco to continue operations of the City’s Public Access station and grow broadband technology for the City. BAVC youth traveled nationally to share what they have created in our programs, and Creative Program award recipients developed and deployed projects that engage people all over the world.

In 2017 Bay Area Video Coalition (BAVC) received a generous grant from the Andrew W. Mellon Foundation which supported the continuation of our Preservation Access Program (PAP), which offers subsidized preservation services to artists and organizations with archival audiovisual holdings. As part of the grant, BAVC has written this paper meant to provide direction and guidance in the process of preserving audiovisual collections, particularly those owned or managed by individuals or smaller organizations. The paper provides information for both practitioners in the field of preservation as well as information for artists and organizations that will help them to prioritize digitization efforts, as well as better understand the issues they may encounter as they plan to preserve tapes of various types and brands, thereby, ideally, saving time and effort in the preservation process. 


The paper discusses the preparation of a collection before digitization, the stewarding of files post-digitization, and which tasks are best left to a digitization vendor. The paper also discusses common errors found in all parts of digitization and preservation workflows, and methods for selecting a preservation file format. Finally, the paper discusses updates made to BAVC’s tape preparation and digitization workflows which were enabled by the funding from Mellon. These workflow updates were informed by data collected by BAVC technicians throughout the digitization process, and are being shared to help advance the general expertise in the field of audiovisual preservation.
