Schedule: Fridays, 3-5pm (flexible); Saturdays and Sundays, 9:30am-6:30pm; subject to being adjusted in 2025 with new Advanced Training schedule

Pay rate: $22-25/hour, commensurate with experience

Location: In-person in San Francisco, CA

BAVC Media (Bay Area Video Coalition) has been a trusted community educator, collaborator, incubator, community builder, and resource for the media arts world since 1976.

BAVC Media serves as a community hub and resource for media makers in the Bay Area and across the country, reaching thousands of freelancers, filmmakers, job seekers, activists, and artists every year. Job Summary

BAVC Media is hiring for two Weekend Program Coordinators, supporting our Advanced Training & Workforce department. This position will prepare and support adult advanced training classes and events occurring over the weekend, and provide general administration and customer service support for BAVC Media’s operations overall, as needed.

Essential Duties & Responsibilities

  • Prepare all materials for, troubleshoot, tear down and store equipment for Advanced Training weekend classes
    • Work with Equipment and Tech Coordinator and Community Media team to ensure materials for class are available for use
    • Assist instructors with facility, equipment and administrative activities related to Advanced Training classes
  • Ensure class spaces (and other public-facing spaces) are presentable and comfortable for students and/or other BAVC Media visitors over the weekend
  • On class days, greet and serve as “host” to students: answer questions about day-of logistics (e.g. parking, nearby lunch recommendations, etc.)
  • Manage pre- and post-class activities, including (but not limited to): space reservations, gear rentals/inventory requests, updating calendars, emailing reminders to instructors, ensuring computers have correct software and materials for the class, tracking enrollment, procuring morning refreshments for students, following up with students about survey completion
    • Additionally assist with unforeseen circumstances, such as class cancellations
  • Provide exceptional customer service to prospective and past BAVC Media students, and folks who contact BAVC Media over the weekends
    • Assist community partners and employers with questions about BAVC Media’s training and workforce development classes and programs
  • Enter class information into BAVC Media’s Learning Management System (LMS), LearnWorlds, ensuring accurate information populates to BAVC Media’s website
  • Maintain confidentiality of student information when handling student data
  • Provide support to and collaborate with the Senior Manager of Training & Workforce Development
  • Support BAVC Media’s general operations, as needed. Tasks may include light office activities such as responding to info@bavc.org emails and phone calls, data entry, organizing supplies and materials, etc.

Skills & Requirements

  • Experience working in A/V, IT, and knowledge of safe handling of video production equipment, ability to think on your feet and possess skills to help troubleshoot both equipment and software-related issues quickly during classes
  • Strong organization and planning skills – must be able to juggle multiple schedules and logistics
  • Communication skills – be able to communicate effectively, efficiently, and remain friendly to visitors, staff, and instructors alike
  • Demonstrate unflagging customer service skills, have a penchant for problem solving, be collaborative, take initiative and possess a tireless love for accuracy
  • Possess a broad understanding of the Bay Area digital media and IT tech sphere from programming to motion graphics to video/audio to virtual reality with a keen interest in emerging technology, and/or, have a strong interest in developing your knowledge-based in this arena
  • Be extremely detail and goal-oriented, be an excellent listener and have an abundance of patience when explaining processes and services repeatedly
  • Command of Google Workspace
  • Experience using a learning management system is strongly desired, this could be as a student. BAVC Media currently uses LearnWorlds. Many schools use Canvas, as another example.
  • Familiarity with other digital systems is a plus as well. BAVC Media uses Salesforce as our CRM and Monday.com for project management and collaborative projects.

Compensation and schedule

This is a part-time position (8-20 hours/week) taking place in-person at our San Francisco office on Fridays, Saturdays, and Sundays, when BAVC Media offers weekend classes. We anticipate that our busy season will be July-September, with classes occurring 3-4 weekends/month (excluding long holiday weekends). During other months class frequency will range between 1-3 weekends per month. We aim to hire two individuals for this role, to provide scheduling flexibility. This part-time position is not eligible for health benefits but it does provide paid sick time. We also offer free registration in BAVC classes and workshops whenever schedule and availability permits. This role is anticipated to start immediately after hiring: early-/mid-April.

Range: $20-22/hour

  • Must be able to lift and transport boxes/equipment up to 40 lbs
  • Frequently stand/walk, grasp lightly/fine manipulation, grasp forcefully, and reach/work above shoulders.
