Policy & Agreement
Please familiarize yourself with the policies and rules before submitting a booking request for the Ninth Street Independent Film Center Screening Room.
Terms and Conditions
- To host an event in the screening room, co-sponsored by BAVC Media, the host must be an active BAVC Media member.
- Requests for events in the screening room must be made at least one month in advance of the event date. Please allow plenty of time for BAVC Media staff to confirm screening room and staffing availability.
- The cost to use the screening room through BAVC Media is $100 per hour on weekdays and $120 per hour on weekends with a 2-hour minimum. BAVC Media will include a complimentary 15 minutes on either end of your reservation for setup and cleanup. Daily usage of the screening room may not exceed 8 hours and 30 minutes including setup and cleanup.
- The BAVC Media headquarters is not open to the general public at this time. This means that the building’s front doors remain locked. General access is not available to anyone without an appointment except Ninth Street Independent Film Center tenants and guests of tenants. This classification also prevents the sale of tickets at the door as per city regulations. An event must be classified as an “Invited Event” meaning attendance must be pre-arranged by hosts and their guests before their arrival at the building.
- You, the host, are responsible for greeting and checking in your guests, and making sure that everyone has exited the building at the close of their event. Some important notes:
- The front doors of our facility must remain closed for the duration of the event, unless there is an individual assigned to greet guests, in which case this individual must remain present at all times and must close the front doors if they leave for, even a brief time. Front doors may not remain open and unattended. We recommend that you have a volunteer dedicated to letting in your guests.
- Hosts should also check that everyone has exited the bathrooms, lobby, and hallways before leaving, and that no one has wandered to the second or third floor of our building including bathrooms and stairwells. BAVC Media staff can help.
- The Screening Room is only available for use when two BAVC Media staff members, who have been trained on Screening Room AV, can be onsite for the duration of the event. If we’re unable to provide this staffing support, we will unfortunately not be able to accommodate Screening Room use requests.
- No food and beverages are allowed in the Screening Room. Hosts will be charged cleaning and/or replacement fees if issues arise, and may not be able to host future events. The Screening Room must be returned to the default configuration (see following page) immediately after an event. Remove all trash, event materials, and personal equipment. Excess trash must be taken to the trash bins immediately following an event. Please coordinate trash removal with BAVC Media following cleanup.
- All events should conclude, be cleaned up, with hosts and guests cleared from the building by 10:00pm unless BAVC Media has provided an exception. Note that our neighborhood faces some safety issues. We recommend hosts and guests to be careful at night and when possible to travel in groups to BART, etc.
Maximum occupancy for Screening Room events: 65
Failure to comply with these terms and conditions may result in the host being barred from using the Screening Room in future. The host will be responsible for all fees, fines or damage.
Screening Room Default Configuration:
- Tables folded and stacked against either wall.
- Chairs stacked 8 high at back of room, not blocking the back exit
- Projector and power strip turned off, remotes returned to rolling AV media rack.
- Personal items removed.
- Trash emptied.
- Lights off.
Before confirming any bookings, members will be sent a version of this Screening Room Policy & Agreement to sign.
