Bookkeeper

Part time • $30-35 per hour (DOE) • Hybrid

JOB SUMMARY

The Bookkeeper is responsible for the day-to-day transactional accounting at BAVC Media performing the accounts payable, accounts receivable, payroll and expense allocations, fixed assets, and other general ledger functions. The Bookkeeper is responsible for the timely and accurate completion of the monthly financial close as well as the timely and accurate preparation of monthly, year-to-date, and year-end financial statements in accordance with Generally Accepted Accounting Principles (GAAP).

This individual will work closely with the Finance & Operations Director and Operations Manager on proper recording of accounting transactions in accordance with contracts and funder reporting requirements. The Bookkeeper will also work with external financial auditors during the annual audit and provide support to the Operations Team and Program Teams on government contract-related audits.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintain the Blackbaud/Financial Edge general ledger and related subsystems: accounts payable, accounts receivable, purchase orders, fixed assets, in-kind donations, payroll journal entries, and budget
  • Prepare the monthly journal entry allocating shared and indirect costs
  • Update revenue/cash forecast weekly and expense forecast monthly
  • Oversee day-to-day cash management in coordination with the Finance & Operations Director
  • Prepare monthly bank reconciliations in a timely manner
  • Reconcile deferred revenue sources in coordination with Program Leads on a monthly basis
  • Prepare monthly, quarterly and annual financial reports for both internal & external sources
  • Prepare monthly accounting close, including reconciliation of all general ledger accounts and preliminary financial statements for management review
  • In collaboration with the Operations Team, prepare accounting reports and schedules for annual audit and form 990 for the external accountants
  • Provide support during the annual budgeting process, periodic forecasts, and ongoing cash forecasting
  • Attend Operations Team meetings, 1:1 check ins, and BAVC staff meetings and other ad-hoc meetings as appropriate  
  • Ensure proper retention of accounting records and legal documentation 
  • Respond to accounting requests and inquiries from BAVC personnel, vendors, and contractors, and Directors as needed
  • Maintain confidentiality of sensitive internal information and records
  • Serve as backup for payroll processing and purchasing as needed

SKILLS & REQUIREMENTS

  • Minimum 5-7 years of bookkeeping experience, or equivalent combination of experience and education/specialized training in a related field
  • Experience recording payroll, accounts payable, accounts receivable, journal entries other general ledger transactions
  • Working knowledge of Generally Accepted Accounting Principles (GAAP)
  • Working knowledge of and proficiency in sophisticated accounting systems. Experience with fund accounting systems such as Blackbaud Financial Edge or similar a plus
  • Strong attention to detail and reconciliation skills required 
  • Ability to analyze, interpret and explain accounting, financial, and business concepts, rules, policies, and procedures desired
  • Familiarity with nonprofit accounting desired
  • Proficiency with Google Workspace and Microsoft Excel
  • Strong organizational and planning skills
  • Ability to multitask in a dynamic environment, while adhering to deadlines
  • Proven ability to work with minimal direction and as a member of a team

Compensation & Schedule

  • This is a part-time position (20 hours/week) with 1 day/week in person at our San Francisco office
  • Benefits include paid vacation and sick time
  • We also offer free registration in BAVC classes and workshops whenever schedule and availability permits
  • Range: $30-35 per hour, depending on experience
