Pay rate: $22-25/hour, commensurate with experience

Location: In-person in San Francisco, CA

BAVC Media (Bay Area Video Coalition) is a leading nonprofit organization working at the intersection of media arts, technology, and education. Founded in 1976, we have spent nearly 50 years empowering media makers to develop and share diverse stories to create social change. Our work centers in access, participation and equity pillars that frame all of our programs, from youth and adult training, to workforce development, artist development, preservation, community media, field building and research activities. BAVC Media is headquartered in San Francisco at the Ninth Street Independent Film Center, with satellite spaces in San Francisco at KQED and in Oakland. Position Overview

We are seeking a detail-oriented and enthusiastic Membership & Programs Assistant to support our organizational outreach and community engagement efforts. This part-time role will play a critical part in maintaining member relationships and supporting program administration.

  • Key Responsibilities
  • Manage membership database, including data entry, tracking, renewal processing, and updating member information in BAVC Media’s CRM
  • Process payments and manage documentation for member’s fiscally sponsored projects
  • Assist in planning and executing membership events and community gatherings
  • Help with scheduling and managing member facility use
  • Support program registration and administrative processes across the organization as needed
  • Help coordinate communication with current and potential members
  • Maintain accurate records of membership interactions and program participation
  • Assist with basic marketing and outreach materials
  • Assist with preparation of materials including transcripts from virtual sessions
  • Support front desk and reception duties during assigned work hours
  • Occasionally open/close the facility, in tandem with other staff, for member events and access

Qualifications

Required

  • High school diploma or equivalent
  • Excellent organizational and administrative skills
  • Strong customer service skills (retail experience is a plus!)
  • Strong written and verbal communication abilities, including ease with making casual, friendly conversation with our members, as well as writing comprehensive and compassionate email responses to member questions
  • Proficiency with Microsoft Office and Google Workspace
  • Detail-oriented with strong data management and organization skills
  • Ability to manage work and solve problems independently and as part of a collaborative team
  • Comfortable working in a fast-paced nonprofit environment and supporting community members with a diverse array of backgrounds and abilities

Preferred

  • Experience with Salesforce or other CRM / membership management systems
  • Background in arts, media, or nonprofit sectors
  • Some knowledge of, interest in, and/or willingness to learn about the independent film industry, documentary practices, and contemporary independent media
  • Basic understanding of database management
  • Experience with Canva, design tools, or basic marketing materials
  • Curious and comfortable asking clarifying questions
  • Event planning experience a plus
  • Understanding of, and desire to advocate for, evolving equity and inclusion concepts
  • Flexible, adaptive, and comfortable with complexity

Key Details

  • Location: BAVC Media, San Francisco Bay Area
  • Compensation: $20-25/hour, commensurate with experience
  • Benefits: This part-time position is not eligible for health benefits but it does provide paid sick time. We also offer free registration in BAVC classes and workshops whenever schedule and availability permits
  • Reports to: BAVC Media’s Director of Marketing and program department leads, as relevant
  • Schedule: Part-time, 20 hours per week (in-person). Final weekly schedule to be determined by the Membership and Programs Assistant and the Director of Marketing. As reference, we anticipate that the incumbent could work three or four days per week, in an hourly combination that adds up to 20 hours.

This is a hybrid position with 2 days per week required to occur in our San Francisco headquarters office between the general hours of 8am-6pm. Most hours will occur Monday-Friday, with occasional weekend shifts to cover special events and programs.

The wage range for this non-exempt position is $48.07-$62.50/hour (about $50,000-$65,000 annually) depending on experience. We anticipate the possibility of the Managing Director role increasing to full-time with health benefits in 2026. This is a hybrid position with 2-3 days per week required to occur in our San Francisco headquarters office between the general hours of 8am-6pm.
